About these terms

In short

By using Safarzing you agree to these terms. If you don't agree, please don't use the platform.

These Terms of use (together with the Privacy policy in Part B and the Refund & cancellation policy in Part C, the "Terms") are an agreement between you and Safarzing Private Limited, a company incorporated in India under the Companies Act, 2013 with Corporate Identity Number U79110BR2026PTC083167 ("Safarzing", "we", "us" or "our").
They apply whenever you visit or use safarzing.com, ai.safarzing.com, our WhatsApp and phone channels, and any page, tool, form, game or feature we run for travellers (together, the "Platform").
By browsing the Platform, sending an enquiry, requesting a quote, using Safarzing AI, posting a review or otherwise using our services, you confirm that you have read, understood and agree to be bound by these Terms, our Privacy policy (Part B), our Refund & cancellation policy (Part C) and any other policy linked from these Terms.
These Terms are an electronic record under the Information Technology Act, 2000 and the rules made under it. They are generated by a computer system and do not need a physical or digital signature. They are published in line with Rule 3(1) of the Information Technology (Intermediary Guidelines and Digital Media Ethics Code) Rules, 2021, and the Consumer Protection (E-Commerce) Rules, 2020, where applicable.
If you use the Platform on behalf of another person, a family, a group or an organisation, you confirm that you have their authority to accept these Terms for them, and "you" includes them.
If any part of these Terms conflicts with a specific written agreement you sign with Safarzing, that specific agreement wins for that matter.

Words we use

In short

A quick glossary, so the rest of the terms read clearly.

Traveller, you: Any person who visits or uses the Platform, including anyone who sends an enquiry or travels on a trip arranged through it.
Expert: An independent travel agent, tour operator, destination management company, hotelier, guide or other travel business that Safarzing has verified and allowed to receive enquiries and send quotes through the Platform. Experts are not employees or agents of Safarzing.
Enquiry: The trip details you share with us, such as destination, dates, number of travellers, budget, preferences, name and phone or WhatsApp number.
Quote: A proposed itinerary and price that an Expert sends you in response to an Enquiry.
Booking: A confirmed arrangement between you and an Expert, usually after you accept a Quote and make a payment.
Trip Services: The travel services in a Booking, such as stays, transport, flights, sightseeing, activities, guides, meals, permits and visas.
Packages: Sample trips shown on the Platform with an indicative "from" price, to help you compare and ask for quotes.
Safarzing AI: Our AI trip planner at ai.safarzing.com and any AI features on the Platform that suggest itineraries, costs, weather or tips.
Content: Anything posted or shared on the Platform: text, reviews, ratings, photos, videos, messages and itineraries.

Who can use Safarzing

In short

You must be 18 or older and able to enter a contract. Share real, accurate details.

You must be at least 18 years old and competent to contract under the Indian Contract Act, 1872 to send Enquiries or make Bookings. Minors may travel on a Booking only when a parent or legal guardian makes the Enquiry and Booking and accepts these Terms for them.
Most features don't need an account or login. Where we do ask for details (for example your name and WhatsApp number on a quote form), you agree to give true, current and complete information and to use a phone number and email that belong to you or that you are authorised to use.
You are responsible for what happens through your phone number, WhatsApp account, email and any account you create with us. Tell us straight away if you think someone else is using them to contact Experts in your name.
We may refuse service, cancel an Enquiry, or restrict access to the Platform if we reasonably believe the details are false, the request is not genuine, or these Terms are being broken.

How Safarzing works

In short

Safarzing is a lead generation platform. You tell us about your trip for free, we share it as a lead with up to three verified travel agents who pay us for it, and they send you their own plans and prices.

Safarzing is a platform, not the tour operator. Unless a page or a written confirmation clearly says that Safarzing itself is providing a specific service, Safarzing does not own, operate or control any hotel, vehicle, flight, activity or other Trip Service. Trip Services are provided by Experts and their suppliers.
When you send an Enquiry, you authorise us to share it with up to three Experts we think are a good match for your destination, dates and budget, and you agree that those Experts may contact you by WhatsApp, phone call, SMS or email about that Enquiry.
We choose which Experts receive an Enquiry using factors such as destination coverage, availability, past traveller feedback and response quality. We don't promise that a particular Expert will respond, that you'll receive three Quotes, or that a Quote will match your budget.
Packages, "from" prices, best-time-to-visit suggestions, sample itineraries, photos and descriptions on the Platform are for inspiration and comparison only. They are not offers. The final itinerary and price are the ones in the Expert's Quote that you accept.
Asking for Quotes is free and places you under no obligation to book. You're free to compare Quotes, negotiate with Experts, or decide not to travel at all.
How Safarzing makes money. Safarzing is a lead generation and marketplace business. Your Enquiry, together with the contact details you give us, is a "lead". Travel agents and other Experts pay Safarzing to receive leads, through per-lead fees, lead packages, subscriptions or wallet credits. Experts may also pay us for listing, software (such as itinerary and invoicing tools) and marketing services. Travellers are not charged for any of this.
We share each Enquiry with a maximum of three Experts. We don't sell or rent your details to data brokers, advertisers or businesses outside travel, and we don't share your Enquiry with more Experts than this without asking you first.
The fees Experts pay us don't depend on whether you book, and Experts are not allowed to add a "Safarzing fee" to your Quote. Which Experts receive your Enquiry is decided by our matching rules (section 4.3), not by who pays the most.
We may help you along the way, for example by following up on your Enquiry, checking whether you got your Quotes, or helping you talk to an Expert. That help doesn't make Safarzing a party to your Booking.

Quotes and bookings

In short

Your Booking is a contract between you and the Expert. Read the Quote carefully and get everything in writing before you pay.

A Booking is a contract directly between you and the Expert, on the Expert's terms. By accepting a Quote you agree to the Expert's booking conditions, cancellation policy and the conditions of their suppliers (such as hotels, airlines and transport operators).
Before paying, please make sure you have, in writing (WhatsApp is fine): the day-by-day itinerary; hotel names and room types; what's included and excluded (meals, transfers, entry tickets, permits, taxes, tips); the total price and payment schedule; and the cancellation and refund policy.
Quotes are valid for the period the Expert states. Prices and availability can change until the Booking is confirmed, especially for flights, peak dates and festivals.
Check every detail in your confirmation (names exactly as on ID or passport, dates, number of travellers, room types) and tell the Expert about any mistake straight away. Some suppliers charge to correct names or dates after booking.
Tell the Expert before booking about anything that matters to your trip, such as medical conditions, mobility needs, dietary requirements, travelling with infants or elderly people, or pets. Experts will try to help, but can't guarantee special requests unless they confirm them in writing.
Changes you ask for after confirmation depend on availability and may cost extra. Experts may need to make reasonable changes (for example an equivalent hotel or a re-ordered day) for reasons outside their control; they should tell you as soon as they can.

Prices, payments and taxes

In short

Our planning tools and quotes are free. You pay the Expert for your trip. Never share OTPs, PINs or passwords with anyone.

Safarzing is free for travellers. We don't charge you for sending Enquiries, receiving Quotes, using Safarzing AI or playing on the Platform. If we ever introduce a paid feature for travellers, we'll show the price clearly before you use it.
Unless a page or invoice clearly says that the payment is collected by Safarzing, payments for Trip Services are made directly to the Expert. Pay only to the Expert's business bank account, UPI ID or payment link that the Expert has confirmed in writing, and keep every receipt and invoice.
Prices are in Indian Rupees unless stated otherwise. Unless the Quote says the price is all-inclusive, it may not include Goods and Services Tax (GST), Tax Collected at Source (TCS) on overseas tour packages under the Income Tax Act, 1961, tourist and city taxes, national park or monument fees, visa fees, or other government charges, which are charged as applicable by law.
For international trips, the final price can change with exchange rates, fuel surcharges or tax changes before full payment, if the Expert's terms allow it.
Safety first. Safarzing staff and genuine Experts will never ask for your OTP, card PIN, CVV, UPI PIN or net-banking password. If anyone does, don't share it, and tell us right away at the contact details in section 27.
Where Safarzing does collect a payment itself (for example for a specific service we sell in our own name), we'll issue an invoice and the price, inclusions and refund terms will be shown before you pay. Payment processing is handled by licensed third-party payment providers on their own terms.

Cancellations, changes and refunds

In short

Refunds follow the cancellation policy in your confirmed Booking. The full detail is in Part C. If an Expert doesn't respond, we'll step in to help.

If you cancel or change a Booking, the Expert's cancellation policy in your confirmed Quote applies. Cancellation charges usually increase closer to the travel date and may include non-refundable amounts charged by hotels, airlines, railways, ferries, permit offices or activity providers.
If an Expert cancels a confirmed Booking for reasons within their control, you should be offered a full refund of amounts paid for the cancelled services, or an alternative of equal or better standard if you accept it.
Refunds are processed by the party that received your payment, to the original payment method where possible. Banks and payment providers may take further days to credit the money. Ask the Expert for the expected refund date in writing.
If you don't show up for a service, or leave a trip early, you may not be entitled to a refund for unused services, except where the supplier refunds them.
Because Safarzing's planning services are free, there is nothing to refund for them. Where Safarzing has collected a payment itself, our Refund & cancellation policy (Part C) and the terms shown at payment apply.
If you can't reach an Expert about a cancellation or refund, or you think they're not following their own policy, contact us (section 26). We'll follow up with the Expert, share the facts we hold, and work with you towards a fair outcome. We can also suspend Experts who don't treat travellers fairly.

Documents, visas, health and insurance

In short

Make sure you have the right ID, passport, visas and permits for every traveller. We strongly recommend travel insurance.

You are responsible for making sure every traveller has valid identity documents and, for international trips, a passport that meets the destination's rules (many countries require at least six months' validity and blank pages), plus any visas, transit visas and entry approvals needed.
Some places in India need special permits, for example Inner Line Permits or Protected Area Permits for parts of the North-East, Ladakh and border areas. Experts can tell you what's needed and may help you apply, but approval is decided by the authorities.
Visa and permit decisions are made by governments and embassies. Neither Safarzing nor the Expert is responsible if a visa or permit is refused, delayed or cancelled, or if you are denied boarding or entry because of your documents, health, conduct or immigration history.
Check health advice for your destination, including vaccinations, altitude (for places like Ladakh, Spiti and Sikkim), medicines and any health declarations required. Speak to a doctor if you're unsure whether a trip is suitable for you.
We strongly recommend comprehensive travel insurance covering medical emergencies, evacuation, cancellation, lost baggage and any adventure activities you plan to do. Unless your Booking says it's included, insurance is not part of your trip.

On the trip

In short

Travel responsibly, follow local laws and safety instructions, and look after each other.

You agree to follow the laws and customs of the places you visit, the rules of hotels, transport operators and parks, and reasonable instructions from guides, drivers and trip leaders, especially those given for your safety.
Adventure activities such as trekking, rafting, paragliding, scuba diving, snow sports, safaris and high-altitude travel carry real risks. Take part only if you're fit to, follow the operator's safety rules, and sign any waiver they require. Operators may refuse anyone who appears unwell, intoxicated or unprepared.
You are responsible for your belongings, cash and valuables during the trip, and for any damage you or your group cause to property.
An Expert or supplier may refuse service, or end your participation without refund, if your behaviour is abusive, unsafe, illegal or seriously disturbs others.
Respect local communities, wildlife and the environment. Don't litter, disturb animals, damage heritage sites, or photograph people who don't want to be photographed.

Verified Experts

In short

We check every Expert before they can quote you, and we act on your feedback. Verification is a check, not a guarantee.

Before an Expert can receive Enquiries, we carry out checks that may include business registration or GST details, identity of the owners, contact details, office or operating location, and references or traveller feedback.
"Verified" means an Expert has passed our checks at the time we did them. It is not a guarantee of an Expert's future performance, solvency or the quality of every supplier they use. Experts are independent businesses and are responsible for their own services, licences, insurance and compliance with law.
We monitor traveller feedback, response times and complaints. We may warn, suspend or remove Experts who mislead travellers, don't respond, don't honour Bookings or refunds, or break our partner rules.
Please tell us about any bad experience with an Expert. Your report helps protect the next traveller.

Safarzing AI

In short

Safarzing AI is a helpful planning assistant. It can make mistakes, so double-check anything important before you rely on it.

Safarzing AI generates suggested itineraries, estimated costs, weather outlooks, stays, food ideas and tips automatically using artificial intelligence and third-party data.
AI output may be incomplete, out of date or wrong, for example opening hours, prices, travel times, permit rules or weather. It is general information, not professional travel, legal, medical, financial or safety advice, and it is not a Quote or a Booking.
Always confirm important details with an Expert, the supplier or an official source before booking or travelling. You use AI suggestions at your own discretion.
Don't enter sensitive personal information (such as passport numbers, health records or payment details) into Safarzing AI. What you type may be processed by our AI service providers to generate a response, as described in our Privacy policy (Part B).
You may use the itineraries you create for your own personal, non-commercial trip planning. You may not use Safarzing AI to build a competing service, generate content at scale, or try to extract its prompts, models or data.

Reviews, photos and your content

In short

Share honest reviews of trips you actually took. You keep ownership of your photos and words; you let us show them on Safarzing.

You may post reviews, ratings and photos about trips you planned or took through Safarzing. Reviews must reflect your own genuine experience. We follow the principles of the Indian Standard on online consumer reviews (IS 19000:2022): we don't buy, write or cherry-pick fake reviews, and we don't remove a review just because it's negative.
You must not post Content that is false, misleading, defamatory, obscene, hateful, harassing, invades someone's privacy, infringes copyright or trademarks, contains personal data of others without consent (such as phone numbers), promotes illegal activity, contains malware, or is spam or advertising.
You keep ownership of the Content you post. You give Safarzing a non-exclusive, royalty-free, worldwide, transferable licence to host, display, reproduce, adapt (for example resize or crop), translate and share it on the Platform and in Safarzing's marketing and social media, with your first name and city, for as long as it stays on the Platform and for a reasonable period afterwards for materials already published.
You confirm you have the right to share any photo you upload, and that people clearly visible in it have agreed to it being shared.
We may check, moderate, edit for formatting, decline or remove Content that breaks these Terms or the law. Experts may reply publicly to reviews. If you want your review removed, contact us.

Fair use of the platform

In short

Use Safarzing for genuine trip planning. No fake enquiries, bots, scraping or misuse of anyone's contact details.

You agree not to:
- send fake, test or prank Enquiries, or Enquiries using someone else's name or number;
- use Expert contact details shared with you for anything other than your trip, such as spam, resale or marketing;
- harass, threaten or abuse Experts, our team or other travellers;
- copy, scrape, crawl, frame or harvest the Platform or its data using bots or automated tools without our written permission;
- interfere with the Platform's security or performance, upload malware, or try to access systems or data you're not authorised to;
- reverse engineer any part of the Platform, or use it to build a competing product;
- use the Platform for anything unlawful, including activity prohibited by the Information Technology Act, 2000.
We may investigate suspected misuse, block access, and report unlawful activity to the authorities.

Our brand and intellectual property

In short

The Safarzing name, logo, design, text, tools and games belong to us. You can use the Platform, not copy it.

The Platform and everything in it, including the Safarzing name and logo, the look and feel, text, graphics, illustrations, software, AI tools, itineraries we create, and the "Buildzing" and "Flyzing" games, are owned by or licensed to Safarzing and protected by Indian and international intellectual property laws.
We give you a limited, personal, non-exclusive, non-transferable, revocable licence to access and use the Platform for planning your own travel. All other rights are reserved.
Some photos on the Platform are licensed from third parties (such as stock photo libraries) or supplied by Experts, and remain their property. Photos are illustrative and may not show the exact hotel, room, vehicle or view in your Booking.
If you believe something on the Platform infringes your rights, write to the Grievance Officer (section 26) with details, and we'll act on it as required by law.

Games and fun features

In short

Our mini games and quizzes are free, just for fun, with no prizes or money involved.

Features like the "Buildzing" and "Flyzing" games, the trip-match quiz and interactive tools are free entertainment. There is no entry fee, betting, wagering or real-money prize, and scores have no cash value.
Game scores (such as your best score) are saved only in your browser on your own device and may be lost if you clear your browser data or switch devices.
Quiz results and destination suggestions are light-hearted recommendations, not professional advice. If we ever run a contest with prizes, it will have its own rules published separately.

Messages and calls

In short

When you ask for quotes, we and up to three Experts will contact you about that trip. You can tell us to stop anytime.

By sending an Enquiry, you give your consent for Safarzing and the Experts it is shared with to contact you about that Enquiry by WhatsApp, phone call, SMS and email, even if your number is registered on the National Customer Preference Register (DND), as permitted under the Telecom Commercial Communications Customer Preference Regulations, 2018.
We may also send you service messages, such as confirming your Enquiry, checking whether you got your Quotes, and asking for feedback after your trip.
We'll send promotional messages (offers, travel ideas, newsletters) only where you've agreed to receive them. Every promotional message will tell you how to opt out, and you can always reply "STOP" on WhatsApp or write to us.
Calls with Safarzing may be recorded for quality, training and dispute resolution. We'll tell you at the start of a recorded call.

Your privacy

In short

We use your details to plan your trip and share them only with the Experts you're matched with and the service providers we need. Our Privacy Policy has the full detail.

We handle personal data in line with the Digital Personal Data Protection Act, 2023, the Information Technology Act, 2000 and their rules, and as explained in our Privacy policy (Part B), which forms part of these Terms.
To deliver the service we share your Enquiry details (name, phone or WhatsApp number, trip details and preferences) with up to three Experts. Experts may only use them to respond to and fulfil your trip, and must protect them.
We also use trusted service providers (such as hosting, messaging, analytics, AI and payment providers) who process data on our behalf under contract.
You can ask us to access, correct or erase your personal data, withdraw consent, or nominate someone to act for you, as allowed by law. Withdrawing consent stops future processing but doesn't affect what's already been done or Bookings already made with Experts.

Other websites and services

In short

When you leave Safarzing for WhatsApp, maps, payment pages or an Expert's site, their terms apply.

The Platform links to or works with third-party services such as WhatsApp, Google Maps, payment gateways, airline and hotel websites, and Experts' own websites and social media.
Those services are run by others under their own terms and privacy policies. We don't control them and aren't responsible for their content, availability or practices.

What we can and can't promise

In short

We work hard to keep Safarzing accurate and running, but we can't guarantee everything is always perfect.

We take reasonable care with the information on the Platform, but travel information changes quickly. Prices, seasons, weather, road conditions, opening hours and rules shown on the Platform are indicative and may change without notice.
To the extent permitted by law, the Platform is provided "as is" and "as available". We don't promise it will always be available, uninterrupted, error-free or free of viruses, though we take reasonable steps to keep it secure.
We don't guarantee the outcome of any trip, including weather, views, wildlife sightings, snowfall, or that a place won't be crowded or closed.
Nothing in these Terms limits any rights you have as a consumer under the Consumer Protection Act, 2019 or other laws that can't be excluded by contract.

Limits on our liability

In short

Experts are responsible for the trips they sell. Our own liability is limited, except where the law says it can't be.

Because Experts and their suppliers provide the Trip Services, Safarzing is not liable for their acts, omissions, delays, cancellations, overbooking, quality of service, injuries, illness, loss or damage arising from Trip Services, except where caused by Safarzing's own negligence or breach of these Terms.
To the maximum extent permitted by law, Safarzing will not be liable for any indirect, incidental, special or consequential loss, or for loss of profit, business, opportunity, data or enjoyment, arising from your use of the Platform.
To the maximum extent permitted by law, Safarzing's total liability to you for any claim relating to the Platform will not exceed the higher of (a) the amount you paid directly to Safarzing for the service the claim relates to, and (b) ₹5,000.
Nothing in these Terms excludes or limits liability for death or personal injury caused by our negligence, for fraud, or for anything else that cannot be limited under Indian law.

Indemnity

In short

If you break these Terms or the law and it causes a claim against us, you'll cover the resulting costs.

You agree to indemnify and hold harmless Safarzing, its directors, employees and partners from claims, losses, penalties and reasonable legal costs arising from your breach of these Terms, your violation of any law or third-party right, Content you post, or false information you provide.

Events outside anyone's control

In short

Floods, landslides, strikes, pandemics and similar events can disrupt trips. Nobody can be blamed for those, but everyone should act fairly.

Neither Safarzing nor an Expert is liable for failure or delay caused by events beyond reasonable control ("force majeure"), including natural disasters, extreme weather, landslides, road or airport closures, epidemics, government orders, curfews, war, terrorism, civil unrest, strikes, and failures of utilities or telecom networks.
If such an event affects your Booking, the Expert should tell you promptly and offer what's reasonably possible, such as new dates, a changed itinerary, a credit note or a refund of amounts that suppliers return. Any amounts already paid to suppliers who don't refund them may not be recoverable.

Suspension and ending access

In short

You can stop using Safarzing anytime. We may limit access if these Terms are broken.

You may stop using the Platform at any time. Existing Bookings with Experts continue on their own terms.
We may suspend or end your access, remove Content, or stop sharing your Enquiries with Experts if you break these Terms, if required by law, or to protect travellers, Experts or the Platform. Where reasonable, we'll tell you why.
Sections that by their nature should continue (such as intellectual property, liability limits, indemnity and disputes) survive after your use ends.

Changes to these terms

In short

We'll update these Terms as Safarzing grows. The date at the top always shows the latest version.

We may change these Terms to reflect new features, legal requirements or how we work. We'll update the "Last updated" date and, for important changes, tell you on the Platform or by message before they take effect.
Changes apply from the date shown and don't affect Bookings already confirmed. If you keep using the Platform after changes take effect, you accept the updated Terms.

Governing law and disputes

In short

Indian law applies. Let's try to sort things out by talking first.

These Terms are governed by the laws of India.
If you have a problem, please contact us first (section 26). Most issues can be resolved quickly by talking to us and the Expert. We'll try in good faith to resolve any dispute within 30 days of hearing from you.
Subject to your rights as a consumer to approach the appropriate Consumer Disputes Redressal Commission under the Consumer Protection Act, 2019, the courts at [City, State] will have exclusive jurisdiction over disputes relating to these Terms or the Platform.
Disputes about a Booking's Trip Services are between you and the Expert, under the Expert's terms, though we'll help where we can as described in section 7.6.

Complaints and Grievance Officer

In short

Tell us what went wrong. We acknowledge every complaint within 48 hours and aim to resolve it within 30 days.

You can raise a complaint about the Platform, an Expert, Content, your personal data or these Terms with our Grievance Officer, appointed under the Consumer Protection (E-Commerce) Rules, 2020 and the Information Technology (Intermediary Guidelines and Digital Media Ethics Code) Rules, 2021:

Please include your name, phone number, Enquiry or Booking details, the Expert's name, what happened, and any screenshots, invoices or receipts. It helps us move faster.
We'll acknowledge your complaint within 48 hours and aim to resolve it within 30 days of receiving it, keeping you updated along the way. Some complaints, such as those about unlawful Content, may be handled faster as required by law.

Who we are and what this covers

In short

This policy explains what personal data Safarzing collects, why, who we share it with, and the choices you have.

Safarzing Private Limited (CIN U79110BR2026PTC083167) is the Data Fiduciary for personal data collected through the Platform, as defined in the Digital Personal Data Protection Act, 2023 ("DPDP Act").
This policy applies to travellers and visitors who use safarzing.com, ai.safarzing.com, our WhatsApp and phone channels, forms, lead ads we run on social media and search platforms, and any other Safarzing channel for travellers.
It is published in line with the DPDP Act, 2023 and its Rules, and the Information Technology (Reasonable Security Practices and Procedures and Sensitive Personal Data or Information) Rules, 2011, to the extent they apply.
Experts who receive your Enquiry are separate businesses. Once they receive your details, they are responsible for how they use them under their own privacy practices and the law, as well as under their agreement with us.

The data we collect

In short

Mostly what you tell us about yourself and your trip, plus basic technical data from your device.

Data you give us:
- name, mobile number, WhatsApp number and email address;
- city of departure and where you live;
- trip details: destination, dates, duration, number of adults, children (and their ages) and infants, budget, hotel category, trip type and preferences;
- messages and call conversations with Safarzing;
- reviews, ratings and photos you post;
- anything you type into Safarzing AI or our FAQ chat.
Data collected automatically:
- device type, operating system, browser, IP address and approximate location derived from it;
- pages viewed, clicks, time on page, the site or ad that sent you to us (including UTM and campaign data);
- cookies and similar technologies (see B7).
Data from others:
- lead forms you fill on Meta (Facebook, Instagram), Google or other ad platforms, which those platforms pass to us;
- Experts telling us whether they contacted you, the status of your Quote or Booking, and any complaint;
- a friend or family member who sends an Enquiry that includes your details (they must have your permission).
We do not ask for, and you should not send us, passport numbers, Aadhaar numbers, card or bank details, or health records through the Platform. If an Expert needs documents for a Booking, share them directly with that Expert.

How we use your data

In short

To turn your enquiry into quotes, keep you updated, improve Safarzing and keep it safe.

To create your Enquiry and share it as a lead with up to three matching Experts so they can contact you with Quotes (see B4). This is the main purpose of the Platform.
To contact you by WhatsApp, call, SMS or email about your Enquiry: confirming it, checking you received Quotes, helping you choose, and asking for feedback after your trip.
To check Enquiries are genuine (for example by calling or messaging to verify your number and trip details) before or after sharing them, and to prevent fake, duplicate or abusive Enquiries.
To match Enquiries with the right Experts, monitor Expert response times and quality, and act on complaints.
To run and improve the Platform, Safarzing AI and our services, including analytics, troubleshooting and product research using aggregated or de-identified data where possible.
To send offers, travel ideas and newsletters, only where you have agreed to receive them.
To measure our advertising, including sharing hashed or limited event data with ad platforms (such as Meta and Google) so they can tell us which ads led to Enquiries.
To meet legal obligations, respond to lawful requests from authorities, and establish or defend legal claims.

Sharing your enquiry with travel agents

In short

This is how Safarzing works: your enquiry and contact details go to up to three verified travel agents, who pay us for the lead.

When you submit an Enquiry, you consent to Safarzing sharing your name, phone and WhatsApp number, email (if given), city and trip details with up to three verified Experts (travel agents, tour operators or destination companies) for that Enquiry.
Experts pay Safarzing to receive these leads (see Part A, section 4.6). We tell you this openly so you know why travel agents will call or message you after you send an Enquiry.
Experts are only allowed to use your details to respond to your Enquiry and to arrange and service your trip. Our agreement with them prohibits reselling your details, adding you to unrelated marketing, or sharing them with other agents.
If you send a new Enquiry for a different trip, it may be shared with a different set of up to three Experts.
If an Expert keeps contacting you after you've said no, or misuses your details, tell us (section 26). We'll ask them to stop, and may suspend them.

Other people we share data with

In short

Service providers who help us run Safarzing, authorities when the law requires, and never data brokers.

Service providers that process data for us under contract, such as cloud hosting, WhatsApp Business messaging and calling providers, CRM and lead management software, email and SMS services, analytics, AI model providers that power Safarzing AI, and payment providers.
Advertising and analytics partners such as Meta and Google, in the limited ways described in B3 and B7.
Authorities and legal requests: government agencies, courts or law enforcement where required by law, or to protect the rights, safety and property of travellers, Experts or Safarzing.
Business changes: a buyer, investor or successor if Safarzing is involved in a merger, acquisition or sale of assets, who must continue to protect your data under this policy.
We don't sell your personal data to data brokers or to businesses outside travel.

Consent and how to withdraw it

In short

You choose to send us your details. You can withdraw consent at any time by messaging us.

We process your personal data based on the consent you give when you submit an Enquiry, fill a lead form, or use our services, and for legitimate uses allowed by the DPDP Act (such as complying with law).
You can withdraw consent at any time by writing to the Grievance Officer (section 26) or replying "STOP" on WhatsApp. We'll stop processing your data for that purpose and, where your Enquiry has already been shared, tell the Experts who received it to stop contacting you.
Withdrawing consent doesn't affect processing that already happened, or Bookings you've already made directly with an Expert.

Cookies and tracking

In short

We use cookies to keep the site working, understand how it's used and measure our ads. You can control them in your browser.

Essential cookies and browser storage keep the Platform working, for example remembering your quiz answers or your best score in our games on your device.
Analytics cookies help us understand which pages and features people use, so we can improve them.
Advertising cookies and pixels (such as the Meta Pixel and Google tags) help us measure which ads lead to Enquiries and show relevant ads.
You can block or delete cookies in your browser settings, and opt out of personalised ads in your Google and Meta account settings. Blocking essential cookies may stop some features working.

How long we keep data

In short

Only as long as we need it, and then we delete or anonymise it.

We keep Enquiry and contact data for up to 3 years from your last interaction with us, so we can help with follow-ups, complaints and repeat trips, unless you ask us to delete it sooner.
Records we must keep by law (such as invoices, payment and tax records) are kept for the period the law requires, which can be up to 8 years.
Reviews stay on the Platform until you ask us to remove them or we remove them under these Terms.
When data is no longer needed, we delete it or anonymise it so it can no longer identify you. Experts who received your Enquiry keep their copies under their own legal obligations.

How we protect data

In short

Reasonable security, limited access and quick action if something goes wrong.

We use reasonable security safeguards, including encrypted connections (HTTPS), access controls so only staff who need data can see it, and security-reviewed service providers.
Experts receive only the details needed to respond to your Enquiry.
No system is completely secure. If a personal data breach affects you, we'll inform you and the Data Protection Board of India as required by the DPDP Act and its Rules.

Your rights

In short

You can see, correct or delete your data, and complain if you're unhappy with how we handled it.

Under the DPDP Act you have the right to:
- get a summary of the personal data we hold about you and who we've shared it with;
- correct, complete or update inaccurate data;
- have your data erased when it's no longer needed or you withdraw consent, unless the law requires us to keep it;
- have your grievances addressed by us;
- nominate another person to exercise your rights if you die or become unable to.
To use any of these rights, contact the Grievance Officer (section 26) from the phone number or email linked to your Enquiry, so we can verify it's you. We'll respond within 30 days.
If you're not satisfied with our response, you may complain to the Data Protection Board of India once it is accepting complaints.

Children's data

In short

Safarzing is for adults. Parents can include their children's details when planning a family trip.

We don't knowingly collect personal data directly from anyone under 18.
When a parent or guardian includes a child's details (such as age) in an Enquiry, they give consent on the child's behalf, and we use those details only to plan the trip. We don't track or target advertising at children.

Data stored outside India

In short

Some of our service providers may store data abroad, with protections in place.

Some service providers (for example cloud hosting, messaging and AI providers) may process or store data outside India. We only transfer data to countries not restricted by the Government of India under the DPDP Act, and require providers to protect it.

Changes to this policy

In short

We'll update this policy as Safarzing changes, and tell you about important changes.

We may update this Privacy policy from time to time. For significant changes, especially new ways of using or sharing your data, we'll notify you on the Platform or by message and, where the law requires, ask for your consent again.

What this policy covers

In short

Safarzing is free for travellers, so there's nothing to refund for our service. Trip refunds follow your Booking with the travel agent.

Safarzing does not charge travellers for Enquiries, Quotes, Safarzing AI or any other planning feature. As no fee is paid to us, no refund of a Safarzing fee arises.
Payments for trips are usually made directly to the Expert (travel agent or tour operator). Cancellations, changes and refunds for those Bookings are governed by the cancellation policy in the Expert's confirmed Quote, together with this policy and Part A, section 7.
Where Safarzing itself collects a payment for a specific service sold in our own name, section C8 applies.

C2

Before you pay

In short

Know the cancellation rules before you book. A two-minute check now saves a lot of trouble later.

Before paying an Expert, ask for the cancellation and refund policy in writing, including: the cancellation charges at each stage before travel; which parts are non-refundable; how and when refunds are paid; and whether date changes are allowed and at what cost.
Pay only to the Expert's business bank account, UPI ID or payment link confirmed in writing, and keep receipts and invoices. They're needed for any refund claim.

C3

If you cancel a booking

In short

Cancellation charges usually rise as your travel date gets closer. Your Expert's written policy decides the exact amount.

To cancel, tell the Expert in writing (WhatsApp or email), and keep a copy. The date the Expert receives your request is the cancellation date.

The table below shows a typical cancellation structure in the Indian travel industry, for guidance only. The policy in your confirmed Quote always applies, and non-refundable items (C4) are charged in full regardless.

Peak dates (Christmas and New Year, Diwali, long weekends, summer holidays in hill stations, snow season) often have stricter rules set by hotels and transport providers.
Leaving a trip early, missing a service, or not using part of a package usually isn't refundable unless the supplier refunds it.

C4

What is usually non-refundable

In short

Some costs are paid to third parties straight away and can't be recovered.

Unless your Quote says otherwise, these are usually non-refundable or refundable only as per the supplier's own rules:
- flight, train, bus and ferry tickets (airline and IRCTC rules apply);
- visa fees, permit fees (such as Inner Line Permits) and service charges;
- travel insurance premiums once the policy is issued;
- non-refundable hotel rates, houseboats, festival and peak-date bookings;
- activity, safari and event tickets booked for fixed dates;
- payment gateway and bank charges.
Government taxes such as GST and TCS are refunded or adjusted only as the law allows.

C5

If the Expert or a supplier cancels

In short

If they cancel for reasons in their control, you should get your money back or an equal alternative.

If an Expert cancels a confirmed Booking, or can't provide a major part of it, for reasons within their control, you should be offered a full refund for the cancelled services or, if you agree, an alternative of the same or higher standard at no extra cost.
If a hotel, airline or other supplier cancels, the Expert should pass on the refund or alternative the supplier provides, and help you rebook.

Disruptions outside anyone's control

In short

For floods, landslides, closures and similar events, refunds depend on what suppliers return. Rescheduling is often the best option.

If travel is disrupted by force majeure events (Part A, section 22), such as natural disasters, road or airport closures, government orders or epidemics, the Expert should offer rescheduling, a credit note, or a refund of amounts that suppliers return.
Additional costs caused by such events during a trip (extra hotel nights, alternate transport) are usually paid by the traveller, unless covered by travel insurance or agreed otherwise.

C7

How and when refunds are paid

In short

Refunds go back to the way you paid. Ask the Expert for the refund date in writing.

Once a refund is due, it is paid by whoever received your money, back to the original payment method or a bank account in the name of the person who paid.
We ask every Expert on Safarzing to process agreed refunds within 15 working days of cancellation, or of receiving the money back from suppliers, whichever is later. Airline and supplier refunds can take longer.
After a refund is processed, banks and UPI apps usually take 5–7 working days to credit it.

C8

Payments collected by Safarzing

In short

If you ever pay Safarzing directly, we refund approved amounts within 7 working days.

If Safarzing collects a payment in its own name for a specific service, the price, inclusions and cancellation terms will be shown before you pay and on your invoice.
Approved refunds of payments collected by Safarzing are processed within 7 working days of approval, to the original payment method.
If a payment fails but money is deducted from your account, it is usually reversed automatically by your bank within 5–7 working days. If it isn't, contact us with the transaction details.

Refund problems: how we help

In short

If an Expert isn't honouring a refund, tell us. We'll follow up, mediate and act against Experts who don't play fair.

Message the Grievance Officer (section 26) with your Booking details, the Expert's name, payment receipts, the cancellation policy you were given, and your messages with the Expert.
We'll contact the Expert, share the facts we have, and work with both sides towards a fair result. Experts who don't honour their own refund policy may be warned, suspended or removed from Safarzing.
As Safarzing doesn't receive the payment for Bookings made directly with Experts, we aren't liable to pay those refunds ourselves, but we will support you, including with records you may need for a complaint to the National Consumer Helpline (1915) or a Consumer Commission.
